1. Choose the email and video job

“Video email” describes two different assets. A property video helps a recipient understand a listing. A personal video message helps the recipient hear directly from the agent. They can support each other, but they require different sources, scripts, thumbnails, and calls to action.

Essential facts and the next step should exist in text. The video adds a guided property story or a human explanation; it should not become the only way to learn the address, timing, contact route, or reason for the message.

2. Choose the audience and sending basis

A useful property video is not permission to send it to everyone in the database. Define why each audience should receive this message, how the relationship or preference was recorded, what exclusions apply, and who owns replies and opt-outs.

Segment by recorded relevance, not assumptions about protected classes or who “belongs” in a property or neighborhood. Keep search criteria and property facts objective, and follow the applicable brokerage, fair-housing, privacy, advertising, and email requirements.

3. Host and link the video reliably

Use a linked thumbnail as the portable default. Mailchimp's current video-block guidance says most email clients do not support embedded video; its block shows a thumbnail that opens the video in a browser. The Mailchimp help page also recommends descriptive alt text for the image.

Avoid attaching a finished property video to a campaign. Gmail's current help page lists a 25 MB total attachment limit for personal accounts and says larger files are converted to a Drive link; Workspace administrators can set other limits. More importantly, a hosted destination is easier to test, measure, update, and pair with current property context. The recipient should understand the message before clicking. Use a representative property frame, a restrained play treatment, a specific line of context, and one text link that leads to the same destination as the image.

Replace every bracket with a verified fact or remove the line. Keep one action in each message, and make sure the linked page carries the latest information.

6. Review accuracy, accessibility, and compliance

Review the email, thumbnail, linked page, and video as one public representation. For REALTORS®, NAR's 2026 Code of Ethics says the true-picture obligation includes internet content and images. Check the current Code and Standards of Practice, along with governing brokerage, MLS, state, fair-housing, privacy, and advertising rules.

In the United States, the FTC says CAN-SPAM covers commercial email, including business-to-business messages, and requires accurate headers and subject lines plus other identification, postal-address, opt-out, and honoring requirements. The message's primary purpose matters, and hiring a vendor does not remove the sender's responsibility. Review the current FTC CAN-SPAM guide with the people responsible for the campaign. 7. Test the complete path
